Job Description:

Job Overview

This position is responsible for supporting several senior leaders (1 CMO, 2 VPs, 1 Director and several physician leaders) within Medicine & Science. Key responsibilities will include program coordination, administrative support, financial management and communication support This position will effectively prioritize multiple projects and tasks to meet deadlines and it will interface with all levels of management and physicians.

Job Responsibilities

40%| Programmatic Coordination:

  • In collaboration with the CMO, support department chairs and division chiefs in documenting, tracking and communicating yearly goals that align to the department strategy
  • Track all physician leaders’ timesheets and work with Program Managers to reconcile actual vs budgeted hours for these roles to support a compliant program
  • Primary point of contact for ECL (physician leaders) and their administrative staff related to program goals, timekeeping and other items as assigned

25%| Administrative Coordination:

  • Manage executive and physician calendars, plan and schedule in-person and virtual meetings and develop and disseminate meeting materials as needed
  • Arrange travel (air/hotel accommodations/ground transportation/etc) for each executive and physician supported
  • Process expense reports and/or manage expenses associated with travel credit cards for each executive and physician supported ensuring accurate and timely submission and reimbursement

20%| Financial responsibilities:

  • Process and track all invoices, check requests, purchase orders, etc for each department supported.
  • Review and reconcile monthly AP distribution reports, income statements and develop monthly accruals as needed
  • Development and documentation of detailed annual budgets in conjunction with leaders supported

15%| Communication and other responsibilities:

  • Provide general office support including drafting and disseminating department correspondence, procuring office supplies and equipment.
  • Prepare various documents and communications for assigned projects (memos, ppt presentations, excel spreadsheets).
  • Maintain departments’ SharePoint sites to provide a central repository for all key documents and updates

Skills, Education and Additional Information

Key Position Qualifications

  • BA/BS in business, healthcare or other related field preferred.
  • Must have 3+ years in administrative experience in healthcare related setting.
  • Ability to interact with all levels of the organization as well as outside vendors and others.
  • Excellent written and oral communication including facilitation skills.
  • Proficient typing/keyboard skills required.
  • Strong knowledge of Microsoft Office (Word, Excel, Power Point, Outlook).
  • Strong attention to detail and ability to handle confidential information
