Job Description:
Schedule: Mon - Fri 8am - 4.30pm**
**This is a HYBRID remote position (monthly rotation to work remote and onsite)
Job Overview
Contributes to the hospital delivery of optimum care by responsibly scheduling patient care appointments. Performs telephone interactions and electronic functions to coordinate scheduling of patient care. Works in partnership with patients, nurses and physicians, to maintain accurate schedule/ visit information, accurate billing and tracking functions, and support patient satisfaction and preferences.
Greets patients in a professional and friendly manner. Answers telephone calls on or before the third ring in a pleasant and knowledgeable manner. Maintains a professional attitude.
Schedules initial follow-up appointments and any other related appointments as needed. Accurately schedules and keys into the computer all imaging exams. Properly informs CTCA patients about hospital services. Communicates patients’ needs to physician and nurses. Coordinates patient schedules for scans and tests in order to avoid conflicts. Coordinates and schedules physician meetings. Explains schedules to CTCA patients in understandable terms. Reschedules when patients and/or physicians schedules change.
Schedules appointments for 10 or more physicians as designated by physician orders and preferences. Interacts with physicians to personalize their schedule. Accurately enters new physician and resource information in the computer. Ensures that the computer schedule is consistent with book scheduling. Prepares schedules for nurses and physicians in a timely manner.
Updates, prints and distributes patient schedules to patients, nursing staff, radiology and other designated hospital staff in a timely manner. Prepares and mails out follow-up cards for patients return visits. Calls patients when they do not reply to follow-up cards. Faxes orders on patients to various hospital departments. Follow-ups with brachytherapy patients that receive their external beam treatments elsewhere. Locates and gets patients films and charts for nurses, physicians, and therapists as needed. Locates patients when they don't show for assigned appointments. Fills in for front desk during absences. Helps with any other duties assigned by Director.
Demonstrates compliance with infection control guidelines including proper use of personal protective equipment. Performs duties as outlined in standards. Explains code orange, code yellow, code black, code green, code red, code white, and code blue and give appropriate numbers to call for each
Works toward meeting scheduling goals (i.e. schedules completed one week in advance). Supports and helps team members so they too will succeed. Encourages an organization-wide spirit of cooperation. Attends required hospital meetings (in services and updates). Promotes intradepartmental trust and respect.
Education/Experience Level
- High School diploma or equivalent required
- Associates degree desirable
- 2-3 years of Medical Scheduling experience preferred
- MA/CNA work experience preferred
- CPR Certification preferred
Pay Range
$18.39 - $28.42Placement within the identified pay range is based on individual and market factors including, but not limited to, experience, education, credentials (including licenses and certifications), geographic location, market competition, skill set (including market availability of required skills), assigned/anticipated job tasks, and level of responsibility.
