Job Description:

JOB SUMMARY

The Medical Staff Coordinator provides administrative support for Medical Staff Services and to the medical staff organization. Responsible for planning and coordination of information flow between other departments/services performing quality improvement functions to assure consistency, communication and efficiency. This position is responsible for all aspects of credentialing, including initial appointment, reappointment and privileging. This position will process applications, verify information, research application details and assure processes are in accordance with Medical Staff Bylaws, State and Federal Requirements and Joint Commission Standards.  This position will provide consistent, accurate and timely credentialing support.

JOB RESPONSIBLITIES

  • Manages the provider credentialing process for identified segment of health plan credentialing needs:
  • Initiate, log, and track the provider application and recredentialing processes.
  • Mail provider application upon request
  • Analyze the recredentialing status of providers to assess recredentialing time lines, and mail provider recredentialing applications according to established schedules.
  • Monitor receipt, as well as follow up until all documents are received and complete.
  • Enter application data and recredentialing information into the credentialing database. Monitor the database on an ongoing basis to maintain integrity of data, and identify and resolve data issues contained therein.
  • Interface with providers and outside sources, such as the National Practitioner Data Bank and licensing boards, to ensure appropriate information is maintained and updated.
  • Create systems to monitor and track status of applications and maintenance of recredentialing files, monitor primary source verification documents.
  • Conduct file comparison to established criteria and resolve problems on an ongoing basis to ensure re/credentialing file compliance with company policy and regulatory and accreditation standards.
  • Analyze progress of files through the credentialing and recredentialing process and provide ongoing and retrospective reports to Manager of Physician Services
  • Conduct assessments of the Provider Database.  Maintain, log, monitor, and communicate status of re/credentialing files of providers to Manager.  Compare files to established criteria to assure compliance with policies as well as regulatory and accreditation standards.
  • Maintain records of all provider and practitioner changes {e.g., board certification, address,) and assure that information is updated and current at all times.

Time Allocation: 30%

  • Oversee and assure medical staff compliance with requirements set forth in medical staff bylaws, rule and regulations and polices and with external regulatory agencies such as CMS and The Joint Commission (to include FPPE/OPPE compliance.)
  • Time Allocation:15%
  • Tracks, on an on-going basis, current licensure required for physicians and allied health professionals. Ensures primary source verification is completed in timely manner.

Time Allocation:10%

  • Assists with setting up new physicians and advanced care practitioners.  This will include entering all of their information into the ECHO software system, communicating to the managers, directors, and physicians when their privileges are approved, coordinating their Lawson numbers, and communicating with Corporate for credentialing with payors.

Time Allocation: 10%

  • Coordinate and accurately document the proceedings of the Credentials Committee and Medical Executive Committee. Ensure timely follow up on action items.  Provide administrative support to medical staff leadership and perform miscellaneous job-related duties as requested.  Prepare ongoing reports for the Board of Directors summarizing Medical Executive Committee actions.
  • Time Allocation: 20%
  • Develop and maintain Medical Staff Bylaws, Rules and Regulations, privilege forms and all Medical Staff Polices in conjunction with section chiefs, Credentials Committee and Medical Executive Committee, and in accordance with regulatory agency standards.

Time Allocation: 5%

  • Serve as a principal resource for compliance with internal and external standards, including accrediting and regulatory agencies, as they apply to the medical staff organization.

JOB QUALIFICATIONS

REQUIRED

Experience: Minimum of 1 year of experience in medical staff services, human resources or similar function.

Education: High School degree or equivalent

PREFERRED

Experience:

  • Minimum of 3 years of experience in credentialing and/or medical staff services
  • Knowledge of regulatory standards/requirements related to credentialing

Certification:

  • Certification by the National Association of Medical Staff Services (CPCS and/or CPMSM), or equivalent experience and education with the commitment to attain certification within 24 months
