Job Description:

Greet all patients in a professional and friendly manner. Sit with patients to discuss all scheduling needs.  Schedule all appointment types for patient, coordinating to make sure all of the patient’s needs are met during the patients visit. This includes labs, follow ups, imaging, infusion, rehab, and any specialty appointments. Coordinate with different departments towards the accurate coordination of oncology patient’s schedules.   Print, fax, email, or mail patient’s schedules when requested. Schedule all external physician appointments and coordinate all ground transportation for patient in the Hudson system. Call or send requests out to other departments regarding appointments needed.  Make request for patient’s rooms and flight arrangements for each visit. Explain schedules to CTCA patients in understandable terms and go over all imaging instructions. Reschedule all patients for physician and advance practitioner clinics when days/times are changed. Communicate with all patients regarding the changes. Email new revised schedules. Coordinate with travel and accommodations to change patient’s arrival and departure dates. Respond to all emails, lync messages and journeybook tasks on a daily basis. Schedule all needs of patients from care management team. Interact with physician and nurses for alignment to discuss patient’s needs. Interact with physician’s administrative assistant to make sure schedules are correct for meetings and time off. Responsible for covering other clinics during stakeholder time off. Responsible for working scheduling board tasks and keeping them to a minimum level. Responsible for returning all calls to patients for follow up when needed. Work towards meeting all scheduling goals. Support and help team members to succeed. Attend all required hospital meetings and classes. Complete all yearly CFL courses. Demonstrate compliance with guidelines of infection control.

Education/Requirements:

  • High School diploma or equivalent required
  • Associates degree desirable
  • 2-3 years of Medical Scheduling experience preferred
  • MA/CNA work experience preferred
  • CPR Certification preferred
