Job Description:

As the Call Center Business Office Representative you are to greet patients and/or physician’s office via telephone, answering or referring inquiries. Primarily you will be responsible for all inbound calls and respond to callers inquires in a timely manner. You will generate appointments for your new patients and obtain necessary documents for their upcoming appointments. By providing each caller with the best customer service by responding to their needs. 

To be successful in this role, you will need excellent typing, written and verbal communication skills.

Essential Functions:

  • Promote the mission, vision, and values of the organization.

  • Greet via telephone patients /physicians’ offices with a positive, helpful attitude.

  • Assisting patients /visitors in finding their way around the office.

  • Enters relevant information into computer system.

  • Enters the information into system is completed efficiently and accurately, obtaining appropriate signatures, completing all required forms, and providing patient information as required by the state and federal regulations and department guidelines.

  • Collects on deposits and copays when applicable.

  • Assisting with a variety of administrative tasks including copying, faxing, and scanning.

  • Answering phones in a professional manner and routing calls as necessary. Answering, Forwarding, and screening phone calls to create a message into ONCO-EMR

  • Assisting colleagues with administrative tasks.

  • Provide excellent customer service.

  • Scheduling appointments.

  • Obtains appropriate medical records for upcoming appointment.

  • Obtains referral authorizations.

  • Obtains Eligibility status for Health Plan and Premium Paid to date for health plans.

  • Follows the Incoming Referral Portals from Leading Reach & Revelation MD Portal

  • Performs other duties as assigned.

Professional Requirements:

  • Maintain patient confidentiality at all times.

  • Maintain professional attire

  • Report to work on time and as scheduled

  • Wear indemnification while on duty.

  • Represent the organization in a positive and professional manner at all times.

  • Comply with all organizational policies and standards regarding the ethical business practices.

  • Communicate the mission, ethics, and goals of the organization.

  • Participate in performance improvements and continuous quality improvement activities.

  • Attend staff meetings

Knowledge, Skills, and Abilities:

  • Must have an enthusiastic and positive attitude

  • Ability to work independently, exercise creativity, be attentive to detail, and maintain a positive attitude

  • Ability to manage multiple and simultaneous responsibilities and to prioritize duties/tasks

  • Ability to initiate communication with patients, their families and hospital visitors

  • Must have excellent customer service and communication skills with the ability to effectively calm patients and be able to deal with distressed and/or agitated patients and their families

  • Knowledge of medical insurances (Medicare, HMO’s, PPO’s, Advantage Plans, commercial billing and collection process

  • Must have excellent written skills with knowledge of medical terminology

  • Must be dependable and on time

  • Ability to plan and prioritize your own work

Physical Requirements and Environmental Conditions:

  • Work is performed during regular work hours, but may require overtime

  • Work under extreme pressures

  • Position requires light to moderate work with 50 pounds maximum weight to lift and carry

  • Position requires reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing
