Job Description:

CTCA Office Assistant maintain and store large volumes of Patient Account records and correspondence for all CTCA sites accurately and in an easily retrievable manner for up to 7 years as required by retention directives. Office Assistants are responsible for, but not limited to; managing multiple file categories containing different HIPAA information, scanning payment batches and other documents to support Patient Accounts, accessing/updating internal financial hardware (AMPFM), accessing/updating denial compliance hardware (PIC), processing Itemized Statements, processing Medical Records Requests, processing Claim Denial and Appeals requests, processing and distribution of mail throughout Patient Accounts and Front Desk coverage. The larger Patient Accounts team relies heavily on the Office Assistant for swift access to patient files that are necessary for them to efficiently manage their portfolios of patient accounts. The Office Assistants responds to requests for Itemized Statements from patients via phone, email and internal requests. The Office Assistants provides clerical support and record access assistance in support of the Patient Account team’s goal of optimizing reimbursement of CTCA hospital and physician accounts. The Office Assistant reports to the Follow-Up Supervisor.

Job Accountabilities

1.

  • Responsible for maintaining Patient Accounts records in all files.
  • Must manage and maintain categorization of files to ensure documents are easily retrievable in a timely manner.
  • Responsible for storing all correspondence and loose paperwork accurately to ensure CTCA is compliant with 7 years record retention policy.
  • Responsible for locating missing files and categorizing appropriately to ensure access to Patient Accounts stakeholders who are managing patient accounts.
  • Coordinates requests for Medical Records with Hospital Information Management to ensure necessary documentation is sent to appropriate payers as needed.
  • Responsible for scanning and storing documents used by various Patient Accounts teams thus enabling other stakeholders to efficiently perform their functions.
  • Copies and pulls EOBs, itemized statements, and payment vouchers for patients and various teams upon request.

  • Responsible for accessing files, supplementing files with credit notes, and printing account details for internal and external audits and projects.
  • Must have general working knowledge of all Patient Accounts team member responsibilities to ensure efficiencies when supporting teams and their varying functions.
  • Required to understand and utilize applicable systems including Access Manager Patient Financial Manager, Scan Data and Revenue Cycle Solutions - Payment Integrity Compass (PIC).

  • Prepares records for annual shred project, labels boxes, moves file boxes, and shreds records/paperwork as needed.
  • Responsible for checking accuracy of files to be shredded

Education/Experience Level

  • Must be a High School graduate or equivalent with good analytical skills.
  • Must have minimum of one to two years experience in office or healthcare environment.

Knowledge and Skills

  • Must have good communication skills.
  • Must have knowledge of PC and other office equipment, Windows experience a plus.
  • Familiarity with ICD-9 coding, insurance terminology and ability to read an Explanation of Benefits is preferred.
  • Must have good customer service skills.
  • Must have basic knowledge of medical terminology.
  • Must be able to perform routine mathematical, color coding and alphabetizing functions.
  • Must have excellent organizational skills, and be able to manage multiple priorities.
  • Must be efficient, reliable, goal orientated and adaptable to change while maintaining productivity levels.
  • Must be Team oriented.
  • Must be courteous and professional.
